Your Role in the team
Objectives
Under the supervision of the Program Manager, the Operational Cell Assistant Intern will support the cell team in various activities based on priorities.
He/She will be specifically responsible for the administrative organization of the cell (scheduling meetings, workshops, etc.), report follow-up, and will act as the focal point for tracking mission documents and ensuring their archiving on SharePoint

Type of Contract: Fixed-Term Internship Contract under Ivorian law; (3) months Renewable
Position to be filled: As soon as possible
Main responsibilities
Administrative Organization of the Cell
Plans and organizes the vacation calendar of the cell staff, meeting schedules, minutes, and sets up an online system.
Coordinates with the Admin the planning of briefings and debriefings for international staff and ensures their reception and orientation during their time at the cell in Abidjan.
Organizes meetings, workshops, team-building activities, or forums when MSF or external participants are invited.
Operational Reporting and Analysis Monitoring
Supports the organization of Mid-Year Review (MYR) Annual budget Revision, (AROs) and is responsible for archiving these documents.
Coordinates the update of strategic/context/HR documents for briefings, ensures mission documents (via Referent and Head of Mission) are available online through SharePoint, and provides related training to optimize everyone's time. Also seeks sustainable solutions to streamline, economize, and simplify the Cell's work.
Development and Maintenance of the Information Management System
Organizes and files documents (both online and offline) in a well-structured system.
Updates tracking tables for mission documents, planning tools, and legal documents/agreements (MOUs) to ensure timely renewal, and ensures the team uses a consistent system.
Contributes to smooth communication and information sharing between the Cell based in Abidjan, headquarters, and various missions.
Support in Contract Management and Opening of International Positions
Updates the “HR tracking” in collaboration with the HR Referent and Admin.
Take minutes of various meetings.
Prepares and follows up on equipment sent to missions (including mail locker management for outgoing packages).
Ensure follow-up of appointments for the RP when needed.
Job requirements
Who can apply ?
Final-year undergraduate or graduate students based in Côte d’Ivoire.
Recent graduates (within the past year) Students based in Cote d’Ivoire.
Qualifications & Professional experience required
Degree in Administration, Human Resources Management or equivalent / International Relations / Law.
Your Superpowers
Excellent writing skills in French and English, with a strong ability to produce clear, structured documents.
Very good organisational skills, rigour and sense of priorities, with a proven ability to work proactively and independently.
Strong team spirit, comfortable working in multicultural and international environments.
Strong motivation for emergency humanitarian aid and understanding of the issues related to the sector.
Ability to work under pressure, while respecting deadlines, confidentiality and internal procedures.
Working proficiency in English and French(Preferable)
MS Office suite (mainly MS Word, Excel and Powerpoint)
